PromoStars is a platform that helps promotional talent build profiles and helps agencies, brands, clients, and related commercial users discover suitable talent. In order to provide that service, we collect and process personal information relating to accounts, profiles, communications, bookings or enquiries, and platform usage. By using PromoStars, you acknowledge that your information may be processed as described in this Privacy Policy. If you use or are represented in our AI Event Concept features, please also read the PromoStars AI Policy.

1. Information We Collect

We may collect the following categories of information:

• Account and identity information, such as your name, surname, email address, phone number, login details, and other information you submit when registering or managing your account.
• Profile information, such as your alias, city, age visibility settings, measurements, bio, services, ratings, social links, public contact information, availability-related information, and other profile details you choose to provide.
• Images and media, including profile photos, gallery images, and related metadata you upload.
• Usage and technical information, such as IP address, browser type, device information, referral data, session activity, diagnostics, and interactions with the platform.
• Communications and requests, including messages sent to PromoStars, support requests, booking or shortlist enquiries, moderation requests, account updates, and related correspondence.
• AI feature information, including AI prompt text, event/context descriptions, clothing or styling requests, optional reference images submitted for generation, generated AI outputs, review/publication status, request identifiers, timestamps, generator type, usage-limit data, and related technical or cost metadata.

2. How We Use Personal Information

We may use personal information to:

• Create, maintain, and secure user accounts.
• Display and operate public and non-public profile features.
• Help agencies, brands, clients, organisers, and other legitimate users discover relevant talent.
• Facilitate introductions, enquiries, shortlisting, and related opportunity workflows.
• Respond to support requests, complaints, moderation issues, or legal notices.
• Maintain platform security, investigate misuse, and prevent fraud or abuse.
• Improve platform usability, performance, content quality, and service delivery.
• Generate, store, moderate, review, meter, and display AI Event Concepts where the feature is enabled.
• Notify a model when an AI concept has been generated for their profile and manage the model's publication or privacy choice.
• Enforce generation limits, model opt-outs, safety controls, abuse prevention, and related AI-feature restrictions.
• Comply with legal, regulatory, contractual, or operational requirements.

3. Public Profiles and Visibility

PromoStars is built around profile discovery. This means that some information you choose to place on your profile may be visible to the public, to registered users, or to selected business users depending on your profile settings and how the platform is configured at the time.

Public-facing profile information may include items such as your alias, city, public bio, selected measurements, images, services, ratings, public contact details, social links, and similar promotional information. You are responsible for ensuring that any information you choose to make public is information you are comfortable sharing.

4. AI Features, Reference Images, and Generated Content

Where AI Event Concept features are enabled, PromoStars may process model profile photographs and relevant profile information together with a user's written prompt and optional venue, environment, clothing, product, or styling reference images to generate a hypothetical visualisation.

Generation inputs may be transmitted to a third-party AI service provider, including OpenAI where configured, for the purpose of producing the requested output. The AI provider may process that information on infrastructure located outside South Africa. Cross-border processing is addressed further below.

Successful AI concepts may be stored by PromoStars together with the associated prompt, event/context description, clothing request, generation source, timestamps, request identifiers, estimated usage/cost data, review status, publication permission, and related metadata. This supports model review, public/private controls, service operation, moderation, support, abuse prevention, audit, and troubleshooting.

Optional reference images uploaded by a requester may be processed for the generation request without being intentionally retained by PromoStars as separate permanent public files. Generated outputs may nevertheless incorporate visual characteristics from those references. Information may be retained where reasonably necessary for security, support, legal compliance, abuse investigation, dispute resolution, or other legitimate operational purposes.

Models can disable new AI generation for their profile through available account controls. This does not automatically delete AI concepts that already exist, but models can use available review controls or contact PromoStars regarding removal or privacy concerns. 5. Sharing with Third Parties

PromoStars may share profile and personal information with third parties where reasonably necessary for platform operation, legitimate business use, or opportunity-related purposes connected with the platform.

Such sharing may include:

• Agencies, brands, clients, event organisers, campaign partners, and shortlist reviewers who need to review profiles, images, services, contact details, availability-related information, or other relevant material for casting, bookings, campaigns, promotions, activations, events, content work, or related opportunities.
• Service providers and technical partners who assist with hosting, storage, email delivery, platform security, diagnostics, maintenance, platform improvement, and AI generation. This may include an AI service provider such as OpenAI where the AI Event Concept feature is configured to use that service.
• Professional advisers, regulators, or legal authorities where required for legal compliance, fraud prevention, dispute handling, safety, or protection of rights.

In some cases, PromoStars may proactively share profile information with relevant third parties where this is reasonably necessary to facilitate introductions, shortlisting, reviews, bookings, campaign discussions, or other legitimate commercial activity connected with the platform.

6. Cookies and Similar Technologies

PromoStars uses cookies and similar technologies for essential platform functions such as login sessions, security, navigation continuity, and basic site operation.

We may also use cookies, local storage, or similar technologies for preferences, diagnostics, performance improvement, and analytics features. Where non-essential tracking or analytics requires consent, we may request that consent through the platform.

7. Legal Grounds for Processing

Depending on the context and applicable law, we may process personal information on one or more of the following bases: consent, the performance of a contract or requested service, legitimate business interests, compliance with legal obligations, or the protection of lawful rights, users, and platform integrity.

8. Data Retention

We retain personal information for as long as reasonably necessary for account management, profile visibility, support, opportunity-related workflows, business records, legal compliance, dispute resolution, moderation, security, and legitimate operational needs.

Retention periods may differ depending on the type of information, whether an account remains active, whether a profile was made public, whether information has already been shared with third parties, and whether continued retention is needed for legal, evidentiary, moderation, abuse-prevention, or security purposes. AI-generated outputs and related prompt/review records may be retained while needed for the model review workflow, public display, account history, support, moderation, platform integrity, or legitimate business records.

9. Data Security

We take reasonable technical and organisational steps to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, or destruction. However, no online platform or storage system can be guaranteed to be completely secure, and users should exercise care when choosing what information to submit or make public.

10. Your Choices and Rights

Subject to applicable law, you may have the right to request access to personal information we hold about you, request correction of inaccurate information, request deletion of certain information, object to certain processing, or request restrictions on how information is used.

You may also be able to update parts of your information directly through your account or profile settings. Models may use available account controls to opt out of new AI concept generation and may manage the public/private status of eligible AI concepts associated with their profile. Where information has already been made public or shared with third parties in connection with platform use, removal from PromoStars may not automatically remove copies already retained by those third parties.

11. Cross-Border Processing

PromoStars may use hosting, infrastructure, software, email, AI-generation, or support services that involve processing or storage in more than one country. This can include sending AI-generation inputs to a configured third-party provider such as OpenAI. Information may therefore be transferred, processed, or accessed across borders where reasonably necessary for platform operation and service delivery, subject to applicable legal requirements and appropriate safeguards where required.

12. Third-Party Links and External Platforms

Profiles may contain links to third-party websites or platforms such as social media pages. PromoStars is not responsible for the privacy, security, or content practices of those external services. You should review their own terms and privacy policies separately.

13. Children and Age-Restricted Use

PromoStars is not intended for unlawful use by persons who are not legally permitted to provide the relevant information or participate in the services offered through the platform. Where age-related rules apply, users are responsible for ensuring that they comply with them.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect platform changes, legal requirements, operational needs, or improvements to our privacy practices. The updated version will be posted on this page with a revised effective date.
